Dear Communications Committee Members, 9/28/04

 

Normally I wouldn't type minutes of our meetings, but since this was our initial organizational meeting. I thought that they might be helpful. This way each of us knows what we will be doing as a committee and who has the responsibility for each portion of our duties. Also I have enclosed a revised list of our members, their e-mail address, phone number and address. Please look this over carefully and let me know if there are any corrections.

 

For everyone's information the letterbox locations are as follows:

 

1. Base of Hawthom Road on light pole -on school grounds

2. Corner of Briar and Bayside

3. Corner of Willow and Bayside

4. Fieldston Road at Laurie Renne's home

5. Comer of Clark and View crest

6. Briza

 

Laurie Renne gave me another letterbox so we have one to put up in another location.

 

Does anyone have any ideas about the location?

 

At this point I am not sure about whether or not we need another meeting. There is a strong possibility that we will be doing a blanket mailing to everyone in the neighborhood so if that is the case we will meet at least to do the work in getting the mailing out. I will let you know as soon as I have talked to Sue and the plans have been finalized.

 

Thank you for being part of this committee. I think that we have a very important part in our new organization.

Minutes of 9/6/04 Communications Committee Meeting

 

The meeting was held at the home of Kathy Kaiser.

 

Members Present: Sandie Koplowitz, Diane MacLean, Carole McNeese, Kathy Kaiser and ex-officio members Sue Terck, and Michael Menard

 

Discussion: The committee discussed the Communications Committee guidelines in the interim by-laws and then formulated a plan.

 

Newsletter -The committee will send a monthly newsletter by e-mail which Sandie will format and send. Diane will distribute newsletters to any paid member who doesn't use e-mail as there are about 10 such members at the moment. This will be discussed later if this number should increase. Sue will gather information from other committees and will edit the text for the newsletter before e-mailing the articles to Sandie. Kathy will assist with the style of the articles.

 

Flyers - Flyers will be printed to publicize board meetings and sometimes for other events. Kathy will assist Sandie with ~ting and editing these flyers. Diane and Juliette will work on copying and distribution of this information. Diane will also fill the 6 letter boxes (locations attached).

 

For the upcoming ENA Board Meeting Diane will place meeting announcements on colored paper in each of the 6 letterboxes. She will also mark the neighborhood map with the locations of the letterboxes.

 

Neighborhood Signs for Meeting Announcements -Sandie has a few more pieces of tag board and will be responsible for these signs. At some point we may decide to come up with a more permanent sign.

 

Press Releases -Carole will take care of press releases announcing meetings and other issues if needed.

 

Website – Sandie will maintain the website. Sandie stated the website was created for the Edgemoor Neighborhood. There was discussion about the website.

 

Newsletter - If needed the committee will set up guidelines for articles submitted to the newsletter by members and other parties.

 

Sandie will contact Niall who is willing to submit information on Conditional Use Permits that are pending in our neighborhood

 

Property Owners Associations -Kathy volunteered to try and find a contact person for the associations in the Edgemoor Neighborhood and will check with the City Planning Department.

 

Budget - We plan to keep costs as low as possible but still do a good job of communicating with our members. It was suggested that we set up an account with Copy Source. Did we decide to follow-up on this and if so who is responsible??? (Sorry I forgot to put this in my notes).
