Minutes from the 11/2/04 Communications/Membership Meeting

Present: Sandie, Diane, Carole and Kathy

 

Discussion of upcoming meeting: Carole has notified the newspapers of our upcoming meeting and Diane has filled all of the letter boxes with membership flyers and meeting notification announcements. D. reported that 4 of the letter boxes were empty of membership forms before Halloween. Sandie and Kathy will make a large sign to announce the upcoming meeting and install it on the corner of Hawthorne, Park Ridge and Chuckanut Drive.

 

After briefly reviewing the website the committee unanimously agreed to add neighborhood links and others of interest.

 

The committee also agreed to an e-mail reminding residents of the upcoming meeting which will include two public notices that have been received by Sandie. It was also agreed to e-mail notices from the City and those announcing Public Hearings to the residents.

 

Goals for the Communication and Membership Committees were discussed and agreed upon. The goals are listed below.

 

The next meeting tentatively will be on Tuesday, November 161h, 10 a.m. at Sandie's. The committee members will thoroughly review the newly revised website with the following in mind:

1. User friendliness

2. Information -what is relevant?

3. Format

4. Need for Human Interest

5. Ads -Do we want to include paid advertising on our website? If so how would we generate ads, manage this page, and provide for back-up to our webmaster, Sandie.

 

The meeting was adjourned.

Communications Committee Goals

 

1.   Reaching all residents to inform them of our presence, goals and area of interest and to encourage thei1r membership in ENA.

 

A once a year mailing sent in time to inform members of our election of

Board members -probably in March if our April meeting is to be our election

meeting.

 

2.                    Evaluating our Website and making it both user friendly and informative

 

Review and discussion will be ongoing but our target is to have some major decisions i.e. regarding advertising, etc, made by April so our recommendations can be presented to the membership.

 

3. Reporter/Reporters

 

We would like to incorporate more neighborhood news in our website and in the newsletter. Also we would like to have more news from our ENA committees so we will be looking for willing volunteers to fill this slot and be considering how our committee could handle this goal in other ways.

 

4. Permanent Neighborhood Sign

 

We feel that it is important to be recognized a neighborhood but suggest that a committee should be formed to work on this project.

Supplies -(Committee members have been purchasing needed supplies on their own up to this point so some reimbursement is included in this estimate. )

 

Postage (.37), printing (.03 per copy -.10 color), colored paper ($10}, sign making ( $8 each time), notebook/dividers for the Fairhaven Library ($6) and other miscellaneous expenses.

Temporary Sign to Announce Meetings - (printing businesses can do a laminated sign for about $70.) We are checking into other sources and evaluating the type of sign that should hold up best in our weather.
